​On-line Booking Terms & Conditions

Please read these Terms & Conditions carefully.

By using this website and Hill Top Farm Lodges online booking service you are agreeing to be bound by the Terms and Conditions detailed below which form the basis of your contract with Hill Top Farm Lodges. In the Terms & Conditions set out below, “you” and “your” refers to all persons named on the booking, which includes any individual(s) subsequently added or substituted at a later date. “We”, “us” and “our” all refer to Hill Top Farm Lodges.

Please print and retain a copy of this Agreement for your records as it may occasionally be updated.

We cannot accommodate children aged 12 and under.

Making a booking

By making a booking you are confirming that you are authorised to do so on behalf of all persons named in the booking and you are acknowledging that all members of your party agree to be bound by these Booking Terms & Conditions. We do not accept bookings from those aged under 18 years of age.

When your booking has been made a confirmation will be sent to you by email using the email address that you have supplied. You should retain a copy of this confirmation for your reference. Booking confirmations are subject to the availability of accommodation at the Lodges.

You should carefully check the details of your confirmation as soon as you receive it. You must contact us immediately if any of the details are incorrect or incomplete.

We will always endeavour to rectify any inaccuracies or accommodate any alterations you wish to make to your booking. We cannot accept liability for any inaccuracies that are not brought to our attention within seven days of issuing your confirmation, nor can we accept responsibility for inaccurate information that you have supplied.

If you contact us using the booking enquiry form we will endeavour to respond within 24 hours of receiving your booking enquiry.

Paying for your booking

All bookings made via Hill Top Farm Lodges website must be guaranteed with a credit or debit card or BACS payment. A non-refundable’ deposit for 25% of the full rental price will need to be paid via to secure your booking. On receipt of your deposit and booking form, your booking details and payment will be acknowledged and a confirmation email will be sent. It is your responsibility to regularly check your emails.

Hill Top Farm Lodges must receive the outstanding balance, no later than 6 weeks prior to your due date, or the owners reserve the right to cancel your holiday and you will lose your deposit. Cheques are NOT accepted as payment.

Please note that reservation requests taken via our website are not confirmed bookings until we have contacted you and accepted payment.

We reserve the right to adjust prices quoted on our website or on details to properties, due to errors or omissions or changes in VAT.

Cancellation / Failure to Arrive / Non Availability

If you have to, or wish to cancel your booking, you must telephone us on the number shown on your confirmation documentation's as soon as possible. You MUST also immediately confirm your cancellation by email to us at the address shown in your confirmation Document.

On paying the deposit the hirer is entering a legally binding contract and is still liable for the full balance even if they cancel.

Whilst all bookings are accepted in good faith, in the unlikely event of an occurrence making it necessary for us to cancel the booking our liabilities will be limited to the amount paid in respect of the booking. Wherever possible, however, alternative accommodation will be offered. We recommend you take out holiday cancellation insurance.

If any payment due in relation to your booking is not paid by the due date, we will have to assume you have cancelled your holiday and your lodge will be released without further notice.

Amendments to your booking

You should notify us of any amendments to your confirmed booking by telephone or email as soon as possible. Amendments are subject to availability and may be subject to cancellation charges.

Last Minute Availability

If a booking is made 6 weeks or less prior to the arrival (last minute booking) you will be required to pay the outstanding balance in full.

Security Deposit

A security deposit of £100 is payable to cover losses, damage and additional cleaning charges if the property is left in an unsatisfactory condition. The deposit will normally be refunded within 48hrs of the end of the tenancy. You are liable for the full amount of any damage and the client’s liability is not limited to the Security Deposit.

Access and Damage

We shall be allowed access to the accommodation at any reasonable time with prior notice given wherever possible for the purpose of emergency repair or any other need. In the event of accidental breakage, damage or theft, we ask that guests report them, however minimal, as soon as possible, so that we can make the necessary repairs or replacement so as not to inconvenience the following guests.

Breakages and/or damage and/or theft of a substantial nature which requires replacement or professional cleaning, caused by guests during their occupancy must be paid for. Any cost to ourselves will be deducted from the security deposit. Further cost exceeding the security deposit will be deducted from the debit/credit card details submitted at the time of booking.

Tenancy

The lodge will be available to you and named on the booking form and shall be used solely for the purpose of a holiday within the meaning of Section 9 of The Rent Act, 1977.

In no circumstance may the period booked be exceeded, unless prior written permission has been given by us. You will be liable for all additional charges in respect of such an extension.

Arrival and Departure

You have access to the accommodation from 4pm onwards on the day of arrival and are requested to leave by 10.30am on the day of departure. Please advise us at least 48 hours before arrival of your anticipated arrival time. The keys must be left in the lodge on departure.

Bed Linen and Towels

All bed linen, duvets, pillows, bath towels and tea towels are included in the rental price.

 

Electricity and Hot Water

Electricity and hot water is included in the rental price. We ask that appliances are turned off when not in use and that lights are turned off when the property is unattended.

Walkers/Golfers/Cyclists

Dirty/wet boots and walking/golfing gear/shoes must be removed before entering the property. Boots /golfing equipment and all outdoor protective clothing can be dried within the spacious integral storage/drying room. Walking boots/ golf shoes must not be worn in any part of the property.

Smoking and Animals

To maintain our current high standards of housekeeping and quality throughout and in the interests of fire prevention and the comfort of future guests, the property is totally non-smoking apart from in designated areas where matches and cigarette butts must be disposed of in the sand buckets provided. Animals are not permitted within the property or should be brought to Hill Top Farm Lodges. Please note that a booking would be terminated immediately if any of the party were deemed to have smoked within the property or if an animal was allowed access into the property. The person who signed the booking form may be liable for the costs of professional cleaning in either case and no refund would be made for early departure.

Liability

No liability shall be accepted by the owners for loss, damage or theft of personal property belonging to guests, either in the property or in/to cars, bicycles or other vehicles left on the property. Nor shall liability shall be accepted by us for accident or injury to guests, either within the property or outside.

Guest Responsibility

The property details aim to give accurate descriptions of the properties. Should there be any specific health or mobility difficulties which may affect a party member, this must be pointed out at the initial reservation stage so that the suitability of the property can be assessed.

We ask that the property and all equipment is left in a clean and tidy condition as you found it yourself. We take great pride at Hill Top Farm Lodges and do what we can to keep it freshly decorated and cleaned to a very high standard.

You shall not cause, or allow to be caused any nuisance or annoyance to any occupant of the neighbouring lodges.

The property must be securely locked and windows shut at all times after turning off lights and electrical appliances when left unattended.

Visitors

You will take full responsibility for any visitors entering our property. You must ensure your guests are aware of the house rules.

Visitors are not allowed to stay overnight under any circumstances unless permission is granted by us. For the peace and tranquility of others, guests must vacate the premises by 22.00 hours.

Car Park

You are not permitted to park in front of the lodges as we feel this spoils our guests views but ample parking spaces are provided behind the lodges. You agree that you are parking in the parking facility at your own risk and assume all risk of injury, damage, or loss to you and/or your vehicle, whether by theft, attempted theft, fire, vandalism or other cause. You further agree to release and discharge us from any such injury, damage or loss.

Safety

Please do not let off fireworks in the vicinity of Hilltop Farm. We (the owners) of Hilltop Farm and their neighbours have livestock that could easily be distressed and their panic may result in serious injury.

For safety reasons, we do not permit the burning of candles within the property (a torch is available for emergency lighting in the event of a power cut.) We ask that electric ceramic hair straighteners are unplugged from the plug socket after use. On arrival check the layout of your holiday property so that in an emergency you can get out quickly and easily also check for the location of a fire blanket and read the instructions for use.

CIRCUMSTANCES BEYOND OUR CONTROL

Except where otherwise expressly stated in these Booking Terms and Conditions, We regret we cannot accept liability or pay any compensation where the performance or prompt performance of the obligations under your contract by us is prevented or affected by or you otherwise suffer any damage or loss as a result of "force majeure"

 

In these Booking Terms and Conditions "force majeure" means an event beyond our reasonable control including but not limited to, strike, lock out, labour dispute, act of God, war, riot, civil commotion, malicious damage, compliance with a law or governmental order, rule, regulation or direction, accident, breakdown of plant or machinery, power cuts, fire, flood and storm, drought, difficulty in obtaining workers, goods or transport and other circumstances affecting the supply of goods or services.

Brochure/Website

We aim to ensure that the information we provide is accurately conveyed in the brochure and/or website and other promotional literature or material produced and circulated by us. There may be small differences between the actual property/other services and its/their description, as we are always seeking to improve services and facilities. Occasionally, problems mean that some facilities or services become unavailable or subject to restriction. If this happens, we will tell the party leader as soon as reasonably practical. We cannot accept responsibility for any changes or closures to area amenities or attractions mentioned in the brochure and/or website or advertised elsewhere.

We cannot accept responsibility for any inaccurate, incomplete or misleading information about the property or its facilities and/or services or any advertised travel and other services, except any such information which has arisen out of our negligence.

 

Protecting your holiday environment

Hill top farm lodges are set in one of the loveliest parts of the country, so naturally, we are interested in anything we can do to help preserve the environment.

You can help too, by respecting the area you visit and remembering the following points:
1. Do not litter
2. Do recycle whenever possible
3. Guard against fire
4. Respect the rights of land and property owners
5. Protect local wildlife
6. Follow the Countryside Code

Unsuitable Hirers

We reserve the right to decline to accept a booking or refuse to hand over the keys to any persons or group where in our opinion the facilities are not suitable for the person or any group member. In such cases all sums paid shall be refunded in full and the contract shall be discharged without further liability on either party. We reserve the right to repossess the property at any time where damage has been caused by any member of your party or in our opinion is likely to be caused by you or any member of your party. In such cases we shall not be liable to make a refund of any portion of the hire terms paid.

 

Faults and Complaints

In spite of the care and precautions taken by ourselves it is possible that you may have grounds for complaint about the property, any complaints must be taken up with ourselves immediately. In no circumstances will compensation be made for complaints after the holiday has ended. Should any problem or any cause for complaint arise, it must be reported immediately to us, who must be given the opportunity to rectify the situation.

Law

This contract shall be deemed to have been made subject to English Law and the jurisdiction of the English Courts. However, it is here by agreed and declared hat all reasonable endeavours will be used to resolve the dispute arising between you and us without immediate recourse to litigation.
